  • Within the EA Recruitment Group — data may be shared between our brands (Artemis Recruits, Assist Recruiting, EA Virtual Assistance Services) where relevant to a placement opportunity
  • With technology service providers — we use third-party tools for applicant tracking, email communication, and website analytics. These providers process data on our behalf and are bound by data processing agreements
  • With legal or regulatory authorities — where we are required to do so by law or court order

We require all third parties to respect the security of your personal data and to treat it in accordance with applicable law.

Data Retention

We retain personal data for as long as is necessary for the purposes for which it was collected, subject to any legal or regulatory retention requirements.

  • Candidate data — we typically retain active candidate profiles for up to 3 years from last contact. After this period, we will contact you to confirm whether you wish to remain in our network or have your data deleted
  • Client data — we retain client records for up to 7 years following the end of our commercial relationship, in line with standard accounting and legal requirements
  • Website enquiry data — contact form submissions are retained for up to 12 months unless they result in an ongoing relationship

You may request deletion of your data at any time — see Section 7.

Your Rights

Depending on your location and applicable data protection law, you may have the following rights in relation to your personal data:

  • Right of access — to request a copy of the personal data we hold about you
  • Right to rectification — to request correction of inaccurate or incomplete data
  • Right to erasure — to request deletion of your personal data where there is no legitimate reason for us to retain it
  • Right to restrict processing — to request that we limit how we use your data in certain circumstances
  • Right to data portability — to receive your data in a structured, machine-readable format
